      Release 6.0d Announcement

Students

Financial Disbursements:

  • Financial aid awards, including scholarships, fellowships, and departmental awards will be disbursed beginning August 15 to eligible undergraduate, graduate, and professional students and are viewable to students in CalCentral.

eForm for Emergency Loans:

  • On August 17, the Emergency Loan eForm application will be available to students in CalCentral.

eForm for Withdrawal Request:

  • Withdrawal Request Form will be available for students starting the First Day of Instruction. Students may request to withdraw for the term through this form. Once approved by the college or departmental advisor or Graduate Student Affairs Officer (GSAO), term withdrawals will be processed and students will need to apply for Readmission to enroll in subsequent terms. Before the first day of instruction, students may drop down to zero units which will result in a cancellation and students must apply for Readmission to enroll in subsequent terms.

Enrollment Verifications:

  • Starting August 15, Fall 2016 Enrollment Verifications can be requested via CalCentral.
  • Notes:
    • Summer 2016 Enrollment Verifications continue to be available via Bear Facts.
    • Berkeley Law Enrollment Verifications continue to be available through the Berkeley Law Registrar’s Office.
    • A self-service verification will be available through National Student Clearinghouse (NSC) after the First Day of Instruction.
 

Staff with Advisor Role

Staff should review the new functionality for students, since many of these changes will affect staff. Changes impacting students include Financial Disbursements, eForms for various processes, and Enrollment Verification functionality, and more.

For this release, the SIS team rolled out a series of electronic forms (eForms) that will change the way you process certain student requests. Our rollout strategy is to release a simple version of each eForm first, and then continue to build and improve the form, based on user feedback.

In addition, these new tools are now available in CalCentral:

Advising Appointments:

  • Important: This tool is available for all advisors, but it requires configuration by the advising team for each unit or department. If your unit wishes to use this tool, please contact sis-advising-appointments@lists.berkeley.edu. Once the unit is configured, students can begin making appointments with that advising unit in CalCentral.

Advising Notes:

  • Advisors will now be able to create advising notes for students through CalCentral; these shared notes will be visible to other advisors.

Long/Short Study List (over or under-enrolled maximum units) Report:

  • A Long/Short Study List report is now available to advisors in the Reporting Center.

eForm for Concurrent Enrollment request:

  • Starting August 15, UC Berkeley Extension students will have CalCentral access to apply for concurrent enrollment in class(es). When they do, approvers will receive a notification.
  • Important: Please do not approve concurrent enrollment applications yet. As a reminder, UC Berkeley degree students have enrollment and waitlist priority. More information will be emailed to Concurrent Enrollment approvers by Friday, August 19
  • Note: This eForm will replace the current Bear Facts request form.

eForm for Withdrawal:

  • Starting August 24, this eForm enables students to submit a request to withdraw from a term.
    • Once approved by you (the student’s college or departmental advisor or GSAO), the eForm will trigger the necessary action to drop students from their classes and withdraw them from the semester. If the student is an athlete, the eForm will route to the Athletics Office first. The Berkeley International Office and Financial Aid and Scholarships Office will receive notifications of the action after the request has been approved.
 

Instructors

Fall 2016 Concurrent Enrollment requests:

  • Starting August 15, UC Berkeley Extension students will have CalCentral access to apply for concurrent enrollment in class(es). When they do, approvers (instructors and staff) will receive a notification.

  • Important: Please do not approve concurrent enrollment applications yet. As a reminder, UC Berkeley degree students have enrollment and waitlist priority. More information will be emailed to Concurrent Enrollment approvers by Friday, August 19

  • Note: This eForm will replace the current Bear Facts request form.

  • Concurrent Enrollment students are not matriculated students. They comprise community members, international students who have been invited to study at UC Berkeley through this program, and sometimes UC Berkeley students who want to pay for a single course instead of full tuition. The program is administered through University Extension, which passes on 50-60% of the tuition collected to participating departments.

Previous Go-Lives
 

  • Go-Live 6 (August 2016)

    Students can make Fall 2016 enrollment verification requests directly through CalCentral. When scholarships, financial aid, and institutional awards are disbursed in mid-August, students and their delegates will be able to view account activity in near real time in their CalCentral billing account. Staff with advising roles can now view Fall 2016 activity, including fee assessment, new charges, payments. Beginning in mid-August, aid disbursement and refunds will also be available.​

  • Go-Live 5 (March 2016)

    Students can now view their enrollment appointments (available today) and enroll in fall semester 2016 classes in CalCentral. Other new CalCentral features include: scheduling advisor appointments; giving delegated access to selected trusted individuals; paying university bills with a credit card; and having all financial aid and billing information in one place. Staff with advising roles can now assign students to an academic advisor; view and release student “Holds;” and access other relevant student data. Bear Facts reporting users will be able to view selected student data reports in the Reporting Center. Instructors will be able to view Class Rosters for fall semester 2016 starting on April 18 and will have access to view relevant student data through SIS Campus Solutions.

  • Go-Live 4 (February 2016)
    Thanks to the new SIS functionality from this Go-Live 4, UC Berkeley fall 2016 admitted undergraduate students will use CalCentral to process their Statement of Intent to Register (SIR) and receive campus onboarding messages and checklists; Undergraduate Admissions staff will use SIS to admit the new cohort of fall 2016 freshmen; Financial Aid and Scholarships Office (FASO) staff will access 2016-17 awarding cycle functionality in SIS; and more. In addition, due to the flexibility the new SIS provides, a limited number of high-achieving and high-potential undergraduate students will now be admitted in mid-February, giving them more time to explore the option of becoming Berkeley students.

  • Go-Live 3 (December 2015)
    UC Berkeley students can now update their profile information in CalCentral; admitted graduate and professional students can process their Statement of Intent to Register (SIR) and receive campus onboarding messages and checklists in CalCentral; in January 2016, student groups and staff will be able to make classroom reservations for events for fall 2016; and more.

    The Student Information Systems (SIS) Project Team is pleased to announce the second of seven “Go-Lives.” The modules of Go-Live 2 include the conversion of course catalog data to the new SIS, the creation of bio-demographic data, new functionality for Fall 2016 class scheduling, and tools for managing student applications.

  • Go-Live 1 (June 2015)
    The SIS Project is pleased to announce the launch of its “Outreach to Prospects” module, an exciting new technology that combines several separate applications into one seamless tool. Prospective students can now complete a student interest form and register for presentations from one convenient module. Staff will ultimately enjoy the streamlined ease of facilitating a student's progress through each stage of admission - from prospect to enrollment.
