Advising Team Weekly Updates

Internal Blockers:
  • Academic Advising continues to be dependent on having full student record detail in Campus Solutions in order to have an accurate Academic Progress Report (APR).  As we continue to have delta conversions, we are left with some student record detail that remains in the legacy system that is then not available for the APR.  All delta/final conversions are scheduled to be completed in GL 7.2, which will then support the full APR roll-out to advisors at the end of October.  Coupled with the final delta conversions, we are also waiting for the converted transfer credit detail to be posted in Production by the transfer credit team and their focus is to post the College of Engineering student transfer credit models first to support the GL 7.1 APR go-live.  Final delta conversions we are waiting for are Test Scores, Enrollments, and Career/Program Plan Updates.
  • Academic Advising continues to be inundated with meetings (e.g. scrum, workflow, GL Cutovers, testing (SIT/UAT), training, CalCentral design/development, leads, weekly wrap up, triage, townhalls, etc) and are struggling to have free periods of time to actually get tasks completed.  It is a very stressful time with limited resources, so being tied up in meetings all day while thinking about everything that still needs to be done has started to wear on the team members (not to mention everyone is forced to work outside of their work hours repeatedly due to this (this is the track we have been on for quite some time)).
  • Last week Academic Advising lost two major resources with the departure of Greg Brown (UCB) and Brenda Payne (SCI).  The AA team is down to one SCI consultant and one UCB employee (Jake Tracy).  A prior AA team member has returned, Fadi Haddad to assist with Undergraduate APRs (and other tasks), but he is still working on the Graduate team tasks, which is taking his focus away from assisting Jake.
 
 
Coming Up:
  • Production Support tickets continue to be submitted with a variety of questions and/or issues.  A slight increase has been noticed with the addition of the APRs.
  • Security requests continue to be submitted for advisor security.  These are often time consuming and includes some lag time as AA has to wait for delegate approval.
  • The Advising Appointment modification continues to receive enhancements with a future deployment of these enhancements in a dot release.  This has been Jake Tracy's focus for a few weeks now and will continue to be so until the UCB advisor wide deployment in GL 7.3.
  • The eForms routing criteria have surfaced the need to have all advisor information current in the Instructor/Advisor Table, which will then make Advisor Assignments accurate.  Last week a communication went out from the cross-functional teams to advisors to update their information.  Once this has all been gathered and the Instructor/Advisor Table has been updated then AA will need to perform updates to the Advisor Assignments.

  • 2017 Enrollment Paths Proposal- socialization and Sign-off from Directors and Cathy K.

Main focus this week has been in the below areas:
  • Testing: Summer 2017 fee assessment, waivers and credit bucket
  • Testing: 1098T processing for tax year 2016
  • Collaborate with BPS leadership on weekly priorities and assignments (i.e., collections, departmental query requests, project deliverables & operational needs)
  • Coordinate on CNP with SR/OR, FA, CSC, Communication teams and CalCentral
 
Coming Up:
  • 1098T processing in production (end of January)
  • Summer 2017 fee assessments (February 1)

Coming Up:

  • MCS: Enrollment file and Change file successfully loaded in PRD.
  • Knowledge transfer from Ellen efforts continues (Cal Grant and MCS)
  • Summer Sessions update:  configuration @ 45% and cross functional meetings occurring to coordinate efforts and flush out business processes. 
  • DD2 finalized and sent to PMO for partner review
  • Completed Cal Grant payment roster and bug work and ready for PRD upon documentation updates.
  • Packaging and general CS Training for FASO staff continues-Fall cleanup in preparation for Spring 2017
  • Continued Disbursement in PRD ~$299 Million
  • 2017-18 Aid Year Set Up research begins and Bundle 43 applied to QAT (Bundle 43 prerequisite for 17-18 ISIR import)
  • Finalizing Cal Central designs for Loan History card and Summer card
  • Expanded CS Security roles for CSC updated and granted
  • CTS handoff to FASO staff  continues (training)
  • SMP swap functionality planning and continued configuration
  • MCS Inbound/Outbound Payment roster validation/testing/configuration 
  • Cal Grant payment roster finalization
